The Administrative Assistant is responsible for the management of the administrative aspects of the SSTARBIRTH Program, working closely with the Program Director to assure appointments and time-lines are kept, as well as representing SSTARBIRTH in a positive manner. Provides supervisory support to Administrative Coordinator.

Duties & Responsibilities

  • Coordinate gathering of data, information and materials for Licensing, Grants and Reports
  • Assist in preparations to meet Licensing Requirements and Inspections
  • Research available funding sources; i.e. grants, foundations, donations
  • Assist in preparation of grant applications and reporting
  • Responsible for data entry into RIBHOLD, EARR, CCAP systems
  • Serve as Liaison for DHS and trouble shoot issues
  • Serve as Human Resource Department Representative for Sstarbirth employees
  • Maintain personnel files
  • Responsible for overseeing Petty Cash and the Checking Account
  • Perform duties of Recording Secretary as needed
  • Perform receptionist and/or secretarial duties
  • Coordinate repair of computer systems for facility
  • Assist Program Director as needed.
  • Other duties as assigned. 

Experience and Skills:

Education & Experience

  • HS diploma
  • Two years' experience in the field of administrative support work.
  • High degree of tact, discretion and confidentiality.

  •  

    Proficient in advanced word processing and management of files/records.
  • Professional demeanor and ability to defuse sensitive situations/persons in a calm manner.
  • Ability to self-direct in accomplishing the coordination and decision-making responsibilities with the ability to resolve issues within the scope of the position independently.
  • Excellent organizational, prioritization, time and project management abilities, and a strong work ethic.
  • Ability to communicate effectively and professionally, both verbally and in writing.
